Inventory tracking
Inventory tracking tells Paysio to count your stock and lower it automatically with every sale. When a product runs out, it stops selling on its own, so you never take an order you cannot fulfill. Tracking is optional and set per product, so you can track physical goods while leaving digital products and services unlimited.
Enabling tracking
You turn tracking on from the product form, either when creating a product or editing an existing one.
- Open the product and find the Track inventory switch.
- Turn it on.
- Enter the Stock quantity, which is how many units you currently have.
- Save the product.
From then on, every completed sale lowers that number.
If the product has options (like Size or Color), stock is not a single number. Instead it is tracked per variant, covered below.
Stock at checkout
Once tracking is on, stock is enforced at checkout in three ways.
- Quantity is capped. A customer cannot add more of a product to their order than you have in stock.
- Sold-out items are blocked. When a product reaches zero, it shows as sold out and cannot be purchased.
- Orders are validated before charging. If someone tries to buy more than is available, the payment is rejected with a message such as "Insufficient stock for [product]. Only 3 available." No charge is made.
Stock is only lowered after a payment succeeds. A failed or abandoned checkout does not touch your counts. The decrement is done safely, so two customers checking out at the same moment cannot both buy the last unit and push you into overselling.
Variant-level stock
When a product has options, each variant carries its own independent stock count. A shirt might have five Small and zero Large.
- Set up your options and values on the product.
- Turn on Track inventory. The Variants table appears.
- Enter a Stock number for each variant row.
At checkout, each variant is checked on its own. A variant at zero shows Sold out and cannot be selected, even while other variants of the same product are still available. The product's overall availability is the sum of all its variant stocks, so the product only fully sells out once every variant reaches zero.
Adjusting stock
Paysio lowers stock automatically as you sell, but you will sometimes need to correct the count yourself, for example after a restock, a recount, or a return.
- Open the product from the Products list.
- Change the Stock quantity (or the Stock value on each variant row).
- Save the product.
The number you enter replaces the current count, so set it to the true quantity on hand rather than the amount you are adding. To restock, raise the number. To write off damaged units, lower it.
