Creating invoices
An invoice bills a specific customer for specific items and lets them pay online. You build it, send it by email, and Paysio tracks it from draft through to paid. This is the way to bill someone directly, rather than sharing a general payment link or storefront.
Creating an invoice
From the Invoices page, click New invoice. This opens a page titled New Invoice, with the subtitle "Create an invoice and send it to your customer." Work down the form.
Choose the customer
At the top, pick who the invoice is for:
- Existing customer: search your customers by name or email and select one.
- New customer: enter an Email (required) and a Name (optional). This bills someone who is not saved yet.
The email is where the invoice is sent, so enter it carefully.
Add items
Under Items, click Add item for each product you are billing for.
- Choose a product from the dropdown. The price shows next to each name.
- Set the quantity.
- The line total appears on the right. Use the trash icon to remove a line.
Only one-time products can be added to an invoice. Subscription (recurring) products are not offered here. If the list is empty, create a one-time product first.
Discount, due date, and notes
Below the items are a few optional fields:
- Discount: pick an active discount code to apply. It reduces the total.
- Due date: set when payment is expected. This is shown to the customer and used to flag the invoice. Leave it blank for no due date.
- Statement descriptor: overrides the name shown on the customer's bank statement, up to 25 characters. Leave blank to use your workspace default.
- Note: a message added to the invoice, such as payment terms or a thank-you. Optional.
Tax and discounts
Tax is added automatically. Any item set to collect tax is taxed at its configured rate (percentage or fixed), and it appears as a Tax line in the summary. You do not enter tax by hand. This works exactly like tax at checkout, so an invoice matches what the same products would cost on a payment link.
A discount code applies across the invoice items and shows as its own line, reducing the total. See Discount codes.
The summary at the bottom shows the subtotal, tax, any discount, and the final total. Hover the dotted labels for a line-by-line breakdown.
Creating and sending
Creating and sending are two steps, so you can review before anything reaches the customer.
- Click Create Invoice. The button is disabled until you have a valid customer and at least one item. The invoice is created as a draft and given a number like INV-00001.
- On the confirmation screen, click Send to customer. This emails the invoice to the customer with a link to pay it online.
You do not have to send right away. You can click View all invoices and send it later from its detail page. On the detail page the button reads Send invoice, and once it has been sent it becomes Resend invoice so you can send it again as a reminder.

Statuses
Each invoice moves through a set of statuses, shown as a badge on the list and detail page:
- Draft: created but not yet sent. The customer cannot see it.
- Sent: emailed to the customer, waiting to be paid.
- Viewed: the customer has opened the invoice page.
- Paid: the customer has paid it.
- Void: cancelled. A void invoice can no longer be paid.
The invoice detail page shows an activity timeline of these moments in order: created, sent, viewed, and then paid or voided. It also has a button to copy the invoice's payment link so you can share it directly.
Voiding an invoice
If an invoice was sent in error or is no longer owed, open it and click Void invoice, then confirm. Voiding cancels the invoice so it cannot be paid. You can void any invoice that has not already been paid or voided. Paysio does not delete invoices, so the record and its number stay intact.
