Transactions

The Transactions page is the complete record of every payment your workspace has handled: sales, refunds, and payouts, all in one list. Open it from Transactions in the sidebar. Every successful and failed charge lands here on its own, so nothing to add manually.

Reading the list

Each row shows, from left to right:

  1. The order number, like #00001.
  2. The amount. A green arrow pointing down means money coming in (a sale). An orange arrow pointing up, with a minus sign, means money going out (a payout or a refund).
  3. The status (explained below).
  4. The payment method: the card brand and last four digits, or the bank account, along with a small icon for the processor that handled it.
  5. The customer's name. Click it to jump straight to their profile.
  6. The time it happened.

Money in and money out

This one list covers all your money movement, not just sales:

  • Money in is payments from customers, shown with a green arrow.
  • Money out is payouts you send and refunds you issue, shown with an orange arrow and a minus sign.

What each status means

The status badge tells you where a payment stands. Hover over a status to see the exact response from the processor, which is the approval message or, for a decline, the reason.

  • Succeeded. The payment was approved.
  • Settled. The money has fully cleared through the processor. Some processors show Succeeded first, then Settled once the funds are confirmed.
  • Processing. The payment is still going through.
  • Failed. The payment was declined or hit an error. The icon hints at why, for example insufficient funds, an expired card, or a security check.
  • Refunded. You gave the money back. See Refunds, voids and cancellations.
  • Cancelled. The payment was voided or cancelled before it settled.
  • Disputed. The customer filed a chargeback. See Disputes and chargebacks.
  • Blocked. The attempt was stopped by your blocklist before any charge. See Blocking bad actors.

Fulfillment badges

For orders with physical products, the status column shows the shipping status instead of the payment status, so you can spot what still needs to go out:

  • Unfulfilled. Nothing has shipped yet.
  • Partial. Some items have shipped.
  • Fulfilled. Everything has shipped.

Filtering and sorting

Use the actions at the top right of the page:

  • Sort by. Newest first, oldest first, highest amount, lowest amount, or by order number.
  • Filter by status. All, Succeeded, Settled, Processing, Failed, Refunded, or Cancelled.
  • Filter by fulfillment. All, Unfulfilled, Partial, or Fulfilled.
  • Filter by customer. Search and pick one or more customers to see only their transactions. (Opening a customer's profile and viewing their transactions does this for you.)

Finding a specific transaction

Two quick ways:

  • Use the filters above to narrow the list.
  • Use workspace search to look up a transaction by order number, amount, customer name or email, or the card's last four digits. See Searching your workspace.

Sandbox

When sandbox mode is on, the page shows a Sandbox badge and lists only your test transactions. Live and sandbox transactions are always kept separate. See Sandbox mode.
