Orders & fulfillment

When someone buys a physical product, the order needs to be shipped. Paysio tracks a fulfillment status on every order that contains a shippable product, so you always know what still needs to go out. You mark items as shipped, attach tracking, and the customer gets a confirmation email.

An order is the transaction for a purchase, so you manage fulfillment from the order's detail page. Open any order from the Transactions list to reach it. See Transaction details.

What gets a fulfillment status

Only orders containing a product with Track shipping & fulfillment turned on carry a fulfillment status. Digital goods and services do not, since there is nothing to ship. To make a product shippable, turn on that switch on the product. See Tax and shipping fees.

Fulfillment statuses

An order that needs shipping shows a Fulfillment section on its detail page with a status badge:

  • Unfulfilled: nothing has shipped yet.
  • Partially fulfilled: some items have shipped, but not all.
  • Fulfilled: everything has shipped.

So you can see at a glance how much is waiting, the sidebar shows a count badge on Transactions for how many orders are still unfulfilled. When that badge is gone, everything is shipped.

Marking items shipped

In the Fulfillment section, click Mark as shipped. A dialog opens where you record the shipment.

  1. If the order has more than one shippable item, pick which items and how many of each are in this shipment. Each item has a quantity stepper capped at what is still left to ship. If the order is a single item, this step is skipped.
  2. Choose the Carrier from the dropdown.
  3. Enter the Tracking number.
  4. If you picked "Other" as the carrier, you can add a Tracking URL so the customer still gets a working link.
  5. Add an optional Note, such as a message about the shipment.
  6. Leave Email customer on to send a shipping confirmation with the tracking info, or turn it off to record the shipment quietly.
  7. Click Mark as shipped.

To ship the whole order at once, leave the quantities at their full remaining amounts. The order then becomes Fulfilled.

Tracking numbers and carriers

Each shipment you record is shown in the Fulfillment section with its carrier, ship date, and tracking number. Recognized carriers show their logo. From there you can:

  • Open tracking to follow the package (available when the carrier gives a tracking link, or when you added a tracking URL).
  • Copy number to copy the tracking number.

If you turned on Email customer, the shipment shows "Customer notified by email", and the customer receives the tracking details.

Partial fulfillment

You do not have to ship everything together. When an order has several items, or several of one item, you can ship in more than one package.

  1. Click Mark as shipped and record the first package with only the items it contains.
  2. The order becomes Partially fulfilled, and the items you did not ship stay open.
  3. When the rest is ready, click Mark as shipped again for the remaining items, with their own tracking.

Each package appears as its own shipment on the order, with its own carrier and tracking number. Once every item has shipped, the order flips to Fulfilled.

If you record a shipment by mistake, use the Cancel link on that shipment. It moves to a "Cancelled shipments" section and its items become open to ship again.
